Financial support for short-term stays abroad

As a student at UiS, you may be eligible for financial support when you go on shorter stays abroad. Here, you'll find more information and details on how to apply for the grant.

  • Students attending a one-year programme can only apply for funding for activities through ECIU University

Grant criteria

Grants are mainly financed through the Erasmus+-programme

Requirements for both study stays and traineeships

  • The activity must consist both of a physical in-person part taking place abroad, and an online virtual part.
  • The in-person part of the activity must last between 5-30 days.

Additional requirements for study stays

  • The combined in-person and online parts of the activity must award a minimum of 3 ECTS.
  • There must be an exchange agreement in place between UiS and the host institution. Please contact the International Office if you have any questions regarding agreements.

Please note that the grant is only meant as support, and that the student will have to cover any additional costs.

For activities that do not meet the Erasmus+ criteria

If you plan to participate in a micro-module or a challenge abroad through ECIU University that doesn’t meet the criteria, you can contact the ECIU team at UiS to inquire about other support options.

If you plan to participate in an activity in the Nordics that doesn't meet the criteria, you can contact the Nordplus coordinator.

Application process

After you have found an activity abroad and checked that it meets the requirements above, you can apply for the grant.

Submit an application

You must apply for the grant a minimum of 2 weeks before the in-person part of the activity starts. Late applications will not be considered.

Submit required documents

The grant is paid after the end of the activity, provided all the required documents are submitted within the given deadline. If any documents are missing or incomplete after the deadline, you will not receive the grant.

1. Grant agreement

The grant agreement contains banking and payment information, and must be signed by the student and by UiS.

2. Learning agreement

The learning agreement shows the details of the activity abroad, and must be signed by the student, UiS, and the host institution/organisation.

3. Confirmation of attendance

The host institution/organisation must fill in and sign a document confirming your attendance, as well as the start and end dates of your in-person stay.

4. Participant survey

After the end of your stay, you will receive an automatic email with a link to a participant report from the Erasmus+ programme.

How to fill in the different documents.

Deadline for submitting documents

The deadline for submitting all four documents is 1 month after the last day of the in-person part of your activity.

Example: If your stay ends 1 November, the submission deadline is 1 December.

Grant and payments

Payment

The grant is paid after the end of the in-person part of the activity, provided all the required documents are submitted within the given deadline. If any documents are missing or incomplete after the deadline, you will not receive the grant.

Grant rates

  • 79 EUR per day for the first 5-14 days 
  • 56 EUR per day for the following 15-30 days

Please note that UiS students from the fall semester of 2024 will receive the above grant in Euros. If you have an Norwegian bank account, this conversion may incur fees at the student's bank. Please talk to your bank for more information.

Travel support

From autumn 2024, all students will receive a travel grant in addition to the base grant. This is calculated automatically based on distance and mode of transportation.

Example of how the travel grants are calculated:

  • Travel distance 100-499km: € 211 travel grant / € 285 green travel grant
  • Travel distance 500-1999km: € 309 travel grant / € 417 green travel grant
  • Travel distance 2000-2999km: € 395 travel grant / € 535 green travel grant

The travel grant is larger for environmentally friendly (green) travels, provided that minimum 50 percent of the travel from Norway to the host destination is carried out using environmentally friendly modes of transportation; bus, EV, bike, train, or carpooling. Please note that boat travel is not included.

To get the green travel rates, you must:

  1. Tick the "green travel top-up" box in the grant agreement
  2. Complete and submit the Declaration of Honour for grønne reiser (PDF) within the 1 month deadline. Please submit the document via email.

Additional grant for travel days

It is also possible to receive additional grant for up to 2 travel days.

Example: If you participate in physical mobility for 5 days and have 2 travel days, you will receive a grant for 7 days. If you travel down the day before physical mobility (5 days) and back the same day as the last day of physical mobility, you will receive a grant for 6 days.

Additional grant for underrepresented groups

Students from underrepresented groups may receive an additional grant of EUR 100 (one-time payment) for short-term stays up to 14 days. For stays between 15-30 days, the amount is EUR 150.

The grant applies to the following students:

  • Students with children or other caring responsibilities: Students who have children under 18 years old, regardless of whether the child accompanies them on the exchange. Students who are the primary caregiver of younger siblings, elderly family members and/or family members with serious mental and/or physical illness or addiction
  • Students with long-term disabilities and chronic illnesses
  • Students with refugee status
  • First-generation students: Students who are the first in their family to complete higher education, and who do not have parents or siblings who have previously completed higher education
  • Students who belong to or have a connection to the indigenous population (Sámi) or one of the national minorities (Jews, Kven/Norwegian Finns, Romani/Taters, Forest Finns and Roma)

To receive the additional grant, you must:

  • Tick the box for "top-up amount for students with fewer opportunities" in the Grant Agreement
  • Students will then be contacted by the International Office and asked to sign a declaration ("Declaration on Honour") to confirm that you are a student from an underrepresented group

How to complete the documents

Grant agreement, learning agreement, confirmation of Erasmus+ exchange period, and the participant survey

1. Grant agreement

You must fill in your personal information, bank information for payment, duration of the stay and any travel days, as well as insurance information.

A valid health insurance is a requirement to receive the Erasmus+ grant, and the insurance number must be provided in the grant agreement.

2. Learning agreement

The learning agremeement shows what you will do at the host institution during your exchange. It must be signed by you, UiS, and the host institution.

You must create a learning agreement that shows the academic content of your activity. This agreement must first be signed by you, then by the student advisor for your study program at UiS, and finally by the host institution. Please remember to notify your student advisor after you have signed so that they can check the agreement and sign.

The learning agreement is not complete until all three parties have signed. It is your responsibility to monitor the status of the agreement and ensure that it is signed by everyone.

We recommend creating an online version of the learning agreement: Online Learning Agreement (OLA). To log in, you must use either EduGain/Feide or Google. Please note that you must register the first time you log in.

Be careful when filling out the agreement, as there are limited opportunities to make changes after it is signed.

If you are participating in a short-term stay at an organisation or company instead of a university, you cannot use the Online Learning Agreement. Therefore, you must fill out the Word template for the learning agreement and submit a signed PDF version: Erasmus+ Learning Agreement (Word).

Please note that you only need to fill out the following parts of the document.

General Information:

  • Your personalia
  • Field of Education (ISCED): Look up your field of study in the ISCED database, e.g., Business Administration. The database is somewhat limited, so you may need to choose something more general/what fits best.
  • Study Cycle
    • Bachelor: First cycle - EQF 6
    • Master: Second cycle - EQF 7

Mobility type and duration

  • Tick the box for Blended mobility with short-term physical mobility.
  • Fill in the start and end dates for the physical part of the stay.

Study Programme at Receiving Institution and recognition at the Sending Institution: Mobility type: Blended mobility with short-term physical mobility

  • Fill in information about the physical and virtual parts of your stay.
  • Fill in the number of study credits (ECTS) you will receive for the stay (if any)

Commitment of the three parties: Any Mobility type

  • Sign the document and send a PDF version to your student advisor for signing via email.
  • Once you have their signature, you must send the document to the host organisation for the final signature to complete the learning agreement.

3. Confirmation of Erasmus+ Exchange Period

The host institution must fill out and sign a document confirming your participation and the start and end date of your stay. You must have this document signed by your contact person at the host institution when your exchange period is nearing its end.

4. Participant Survey

All Erasmus+ students must submit a report issued by Erasmus+ after their stay. You will receive an automatic email with a link to a final report (Participant report) via Erasmus+'s Beneficiary Module.
